Band Booster Meeting
November 5, 2007
Attendees: Lynne Hood, Donette Yeilding, Pat Macomber, Beth Bonds, Jeannine Willams, Bonny Lutter, Debbie Auberger, Donna Schriver, Bethany Meyer, Belinda Louloudis, Ann Merrick, Lorna Diebert, Chris Poole
Meeting called to order at 7:05p.m.
Parents of SMS Jazz band students welcomed and thanked for coming.
Motion made to change the order of the agenda to accommodate visitors from SMS, motion seconded.
Jazz Fest Pat Macomber described the jazz fest and explained that it was originally started as a means to offset the cost of a clinician for our band students, but for the past 2 years we have had volunteer clinicians and we’ve actually turned a profit.
§ We need volunteers for all positions listed on the handout titled “2007 Jazz Fest/Coffee House, which is attached.
§ Theme for 2008: “ I’m Just a Fool for Jazz” This theme will incorporate a jester and Mardis Gras-type decorations.
§ Bethany Meyer needs 10 volunteers in the kitchen.
§ Donette Yeilding will contact Mr. Dobrick about announcing at the Jazz Fest.
§ We are aware of a conflict with KIDA championships and will work it out as best we can.
§ Pat Macomber and Donette Yeilding will work out the details of pre-selling tickets.
§ The tickets sold out last year—we’ll try to get more tables this year.
§ We will arrange volunteer time so that parents can see their children perform.
§ We want the students to take as much ownership as possible.
§ The jazz fest has been very long in the past—an effort will be made to limit the number of bands and the time allotted to each.
§ We will encourage all bands to use our drum set, which will cut down on transition time.
§ We will reserve one door for pre-paid ticket holders to cut down on lobby traffic.
§ The jazz fest coincides with Jake Lutter’s birthday.

Secretary’s Report Minutes from October meeting approved.
Treasurer’s Report We are down under $2,000 in the general fund and we still owe about $1,400 in stipends. The student account balance is around $5,000. The Spirit table is doing well, candy-grams are a good seller.
We’ve had an increase in expenses this year because we’ve provided more meals for the marching band than we have in the past and groceries are more expensive. Perhaps we should rely more on donations of food.
Director’s Report Postponed as Mr. Poole is in a district meeting and will join us as soon as possible.
Fundraising
§ Market Day Next ordering deadline: Nov. 28, delivery on Tues. Dec. 4
§ Holiday Fundraiser Going well, we’ve received about $2400.00 worth of orders so far.
Old Business
New Business
§ End-of-season marching band party Fri. Nov. 9, Springfield Bowling, 9-midnight. We still need door prizes. Ideas: itunes gift cards, gift cards to movies, Starbucks, etc. Pat Macomber will donate 3 door prizes, Lynne Hood and Jeannine Williams brought donations to meeting.
§ Pep Band We need chaperones. The Pep Band is a group of volunteer band students who play at home basketball games. The musicians usually get treated to a snack from the concession stand. Donna Schriver and Bonny Lutter volunteered to chaperone.
§ SMS Holiday Concert December 19, 7:00pm Lynne Hood will help to set up refreshments before the concert and serve after the concert. We can heat a beverage in Donette Yeilding’s classroom. Debbie Auberger will bring scrapbooks. Bonny Lutter will help with refreshments.
§ Rehearsal schedule for Nov. 5-10 6-9 Wed. and Thurs., 12-4 Sat., 2:30-11:30 on Sun. Boosters will provide hot chocolate for these cold evening practices.
Director’s Report The marching band’s performance at Red Lion was not the best show of the season but they still did well. There was lots of audience reaction. We’ll work on getting the opener as strong as the closer. The marching band staff have been working very hard at the judges’ meetings.
The indoor guard floor will be delivered next Tues. (Nov. 13). Donna Schriver will call Mr. Poole about the arrival time, Mr. Poole will arrange to have people there to unload it.
Bonny Lutter will bring a small stool to Wed. practice, to be used by Ashley when she directs the band.
