Band Boosters Meeting

May 3, 2010

Meeting called to order by Tina at 7PM

Secretary’s report:  one change noted by Angela – Ted McCadden, not Tedd Wheeler, attended the KIDA meeting with Angela.  Minutes approved, as amended, by Angela – seconded by Tedd Wheeler

Treasurers report:  $6820 in general fund,  $7344 in student accounts.  Student accounts do not include Pellman’s sales yet.  Approved my Kim Nace, seconded by Tractor Bob.  Copy of report provided by Angela.,

 

Director’s Report

-          Tremendous turnout for new member and marching band preview meeting on April 27th .

-          One change to list of staff for next year’s marching band:  Bobby Glass will be returning as a consultant and designer for the colorguard.

-          Colorguard – first rehearsal scheduled for next Monday, Drumline’s first rehearsal is this Wednesday.

-          John M. will be writing our drill again this year.  The show is entitled “Inspiration” and the band will go through the stages of creating a ‘product’.  The music/theatrics in the show will progress from thinking/planning….to frustration/failure….to ultimate success.  The actual ‘product’ should be figured out in the next week or so.

-          Last Friday night the jazz band went to a Jazz festival at Cedar Cliff.  Their festival is very different from ours.  There were 3 judges and less than 100 people in attendance.  The bands perform in the auditorium and when they finish, one of the judges follows them off stage to a room where he gives immediate feedback on their performance.  So each band gets a mini-clinic.  While Mr. Poole and the band found the clinic beneficial, the students overwhelmingly prefer our Jazz Fest Coffee House atmosphere to this type of jazz fest. 

-          Spring Concert is May 12th at 7PM.  There is a surprise planned!

-          Percussion recital is scheduled for May 8th with a 12:30 start time and a $5 admission price due to the guest artist, Gifford Howarth, who will be performing with our students.  Student performers will each get 2 free tickets for their parents.

Old Business

-          Pellman’s – no recap yet – student splits have not yet been finalized.

-          End of Year banquet – theme is ‘Space’.  Menu is set and invitations will go out Tuesday and via email.

-          Florida Trip – follow-up planning meeting to be scheduled

New Business

-          Budget for 2010-2011   - copies of ‘working’ budget handed out.  There is a large gap between anticipated income and expenses.  Meeting scheduled for 5/27 @ 6:30 to talk about fundraising ideas to close this gap.  All are welcome!  Tractor Bob questioned whether we have ever looked into grant money.   Boosters need to file for the 501c3 first.  Angela and Tedd W both have experience in grant writing and will look into that once the nonprofit paperwork is finalized.

Looking ahead

-          Uniforms –  new students and section leaders will be fitted at the May 24th rehearsal.  Returning students will be fitted at the June 9th rehearsal.  This will enable all students to have a uniform for the June 12th parade. 

-          May 8 Percussion concert: We need pizza!  Donna and Tina will take care of this.

-          Yard Sale:  We need donations of new or gently used items to be sold at the yard sale. Please suggest a price. We can use all sorts of items—books, household items, small appliances, toys, anything usually sold at yard sales.

-          Parkas Once we confirm that we will get new ones, we can sell the old ones. The idea is more about getting a sponsor for a new one rather than actually selling the old one, although anyone who would like to have one is welcome to it! J

-          York Revolution Game: Sunday,  May 16.  WE NEED TO SELL TIX!!! We have sold only a few of the 125 tix we have to sell. The band will play the National Anthem. Please invite your friends and neighbors—this is a fun family event.

-          Spring Concert: Wed, May 12  Parents of freshmen and sophomores are asked to bring desserts, Angela will bring ginger ale.

-          Glen Rock Parade, June 12     The marching band will play the same parade tunes, the kids will be familiar with them. Alumni and recent grads, (as in those who will graduate the week before!), are welcome and urged to join us.  We will need the trailer that day.

-          Executive Committee Budget meeting scheduled for May 27.

        Jazz Fest recap:

·          Flow in the lobby was better with coffee kiosk placed front and center.

·         Mike from Ship-to-Shore was very pleased, said everything went smoothly, they enjoyed it. 

·         Kitchen—went very well, fruit was a great addition, looked professional.

·         Table near the kitchen—students (servers) talking too much. Let’s ask them to go behind the scenes to talk.

·          Servers need to check tables until the end. 

·         Seating chart:  let’s add the table server’s name and keep a copy at the food tix booth so questions can be answered.

·         It would be helpful to re-number the tables so they go in order.

·          Show was long…we knew that…there were some extenuating circumstances this year. In general it is suggested to keep to 5 groups.

·         Mr. Quay………..suggests have MC welcome the guests and then he will assume the role of MC, which would make for smoother transitions between bands and better coordination with the SMS band.

·         Idea:  vocal ensemble could perform in one of the house band slots.

·         Make announcements AND place a sign where the kiosk was once we move it inside. (Several announcements were made—not always heard!)

·         Noise in lobby—should we keep doors closed? This would cause long lines for coffee.  Need a monitor to keep noise down.

·          Middle school kids didn’t have money—this was communicated to their directors and their parents—let’s find a way to communicate it better.

·         Tix issues………tix chairperson needs help, maybe a runner?  Sechrists paid for 4 tix and only had 2 waiting for them.  Tix people need to be there earlier. There were a few snafus but this is a big job and we appreciate all Lynn Eason did for us.

·          Food tix in classrooms…….didn’t work out—Korbin will help streamline the system. Go Korbin! We LOVE help from students!

·          Decorations were fantastic!

·         All-in-all it was a great show. The music was excellent this year, the food was great, the coffee kiosk kinks were worked out, and most people enjoyed their evening. There is always room for improvement.

·         All volunteers were thanked one last time.

 

 

Market Day    orders due 5/5 by 11pm. Pick-up 5/11.  This is an easy fundraiser—we need to get more people involved.

 

501c3 status we are still working on this….it is a long and difficult process. Ted has graciously offered to help speed this process up. Hopefully we will have it in place by marching band season.
