Band Booster Meeting
July 6, 2009

Secretary’s Report: Minutes from June meeting
approved. Thank you, Cheryl, for preparing them.
Treasurer’s Report: This will be Donna’s last
treasurer’s report. Thank you, Donna, and welcome Angela Mays!
Student Accounts: $5,839.00 (This is after hearing
from 90% of graduating seniors and directing the money in their accounts per
their requests.)
General Fund: $8,763.00

Director’s Report: Mr. Poole was not able to be here
tonight. We will take this time to discuss ideas for the marching show shirt.
The theme this year is Chaos Theory/ Butterfly Effect. We are open to
suggestions for show shirt designs, but we need the ideas within one week in
order to get the shirts ordered. It takes about 10 days to get them screened,
and we have to get on the schedule to be screened. We can use 2 ink colors.
Bethany Meyer likes the idea of printing the schedule on the back of the shirts.
Tie dye shirts with a butterfly design were suggested. We don’t want the
butterfly to look too feminine. Cheryl Yost will send out an email asking
for ideas to be forwarded to Tina.
Old Business
- New Head Chaperone: Michele Spurlock Thank

- New Candy Gram Coordinator: Ann Merrick

- Trailer Volunteers: Schrivers, Soltes, Kaliszack,
Voltaggio and Charlie Carroll. Thank you to all.
New Business-Band Camp Preparations
- Uniforms Sherry Soltes needs help with
uniform distribution. This process should be started at the 7/22 evening
practice. Angela Mays, Kim Nace and Bethany Meyer all
volunteered to help. We will need blue tape, Sharpie markers, new spread
sheet to record uniform numbers and copies of contracts. It was suggested
that we add a statement to the contract requiring uniforms to be returned in
the condition in which they were received, in a dry cleaning bag.
- Shoes There will be no more measurements
taken for marching shoes. Students who did not get measured need to turn in
their shoe size at the next practice.
- Picture Day Mr. Poole has been in contact
with the photographer. Pictures will be taken on Thurs, Aug. 6. Typically
the photographer takes individual pictures in the lobby and then we take
individual pictures for our own use. Every student, whether they plan to buy
the pictures or not, must have their picture taken.
- Meals The boosters will provide one meal for
each week of band camp. We need to confirm a date for each meal with Mr.
Poole. We need volunteers to help with the meals. Donna Schriver and
Kim Nace have volunteered to help as long as the date works for them.
Bethany Meyer is able to help the second week. Please let one of them
know if you are available to help.
- Cool Treats We like to serve “cool treats”
each day of band camp.
- One day we will ask district administrators to
distribute ice cream treats, provided by the boosters, to the band
members. Tina will set up a date for this with Mr. Poole and then invite
the administrators.
- Janet Hagle has volunteered to come once each week
with a sno-ball machine. Thank you, Janet—that will be awesome! Again,
we need a date from Mr. Poole. Janet is not available 8/13 or 8/14.
- We need parents to bring in freeze pops for each
of the other days of band camp. Plan for 75, to include directors, etc.
Just bring them in frozen, packed on ice in a cooler. Please let Tina
know if you are able to contribute at tpelensky@earthlink.net
- Games We are looking for suggestions for
games for the kids to play during breaks at band camp. We need quick and
easy games—no roughhousing—we don’t want any injuries.
- Cameras/Pictures It was suggested that we give
each section leader a disposable camera to get candid shots during band
camp. Your candid shots are always needed: please put on disk and drop the
disk in the red box.
- Idea: Pool Party for marching band students.
Tina will call Summit Grove and Janet Hagel will call Bon Air.
They will get back to the boosters with info.
- Sub Sale We need a get-together for parents.
Suggestion: sub sale/picnic for band students and parents. Donna Schriver
and Bethany Meyer will organize this for Aug. 13. This could bring in money
to help provide meals during band camp as well as provide an opportunity to
welcome new families and answer questions. A suggestion was made to put a
line on the order form for questions. The order form will be sent home at
the 7/22 practice and via email.
- Gloves We need to order gloves before band
camp starts.
- Polo shirts We also need to order the polo
shirts. There is a new fabric this year. All new students will get the new
fabric, returning students can wear their old shirt or order a new one. We
will display the shirt somewhere where students and parents can see the new
fabric.
- NEEDED Parent volunteers to stay on the
practice field and ensure the security of the instruments and equipment
while the band breaks for lunch and dinner. If you can help with this at all
during band camp, even for one day, please let Tina know at tpelensky@earthlink.net
Looking Ahead
- Band Night This is the one and only night
during the football season when the band is able to earn profit from game
ticket sales. We also usually have a tailgate party and the middle school
band is invited to play on the field and in the stands with the high school
band. Elementary band students will also be invited to participate in some
way. Tina and Donna will get plans for band night started……..they will need
lots of help.
- First Game Friday, September 14 at home. It
was suggested that we also do a sub sale/tailgate party for the first game.
Advertising via the All-Sports Boosters was discussed, but that presents
difficulties with money collection. However we will advertise to the middle
and elementary school band members. Ideas: at the first tailgate party take
orders for the next; have subs available to sell outright; work in
conjunction with “Warrior Nation”; increase price to $6.00 for sub, chips,
drink and cookie—it’s still a good value.
- Donette Yeilding and Tina are working on a
proposal to get involved in concessions sales at football games.
- Thank you cards Tina will create a thank you
card with the band logo on it. She will send a card to the Delps.
