Band Boosters Meeting
August 3, 2009

Secretary’s Report Minutes from July meeting approved. Please be advised that the minutes are posted at www.warriorbands.org for your convenience.
Treasurer’s Report Our new treasurer, Angela Mays, reports that there is currently $11,747.39 in the general fund and $5,506.55 in the student accounts. Outstanding bills include polo shirts, show shirts, gloves and shoes for marching band.
Director’s Report
*Mr. Poole reports that we had a good first day of band camp. Attendance was excellent with the exception of 2 students who dropped out at the last minute. This caused our drill writer to have to make many changes to the drill. However, we were still able to get through several pages of the drill on the first day, which is good progress.
*The marching shoes are in—we are using Dinkle this year—we feel it is a better quality shoe for about the same price.
* Mr. Poole would like to thank all the parents who have volunteered to help at band camp. Your help is very much appreciated.
*We are happy to have new vibes and other percussion instruments.
*We are also very happy to have new storage shelves in the band room. The money for the shelves was donated by the New Freedom VFW, and Bob Gifford built them with some help from other volunteers. A thank you note should be sent to both. It was later noted that the New Freedom VFW has specifically asked not to be solicited and we agreed, so we need to be mindful of that.
*Mr. Poole noted that by the time the boosters meet again the band will have already marched at the first football game. A lot will have happened by then. He invites everyone to come out and watch rehearsals and attend preview night, etc. It is very interesting to watch the show come together, and the students and directors appreciate the support.
Old Business:
· Band Camp
§ We need a tractor immediately. If we cannot access a tractor we will need many volunteers to carry equipment.
§ Uniform distribution: Thank you to Angela, Sherry and Donette for helping with this today. The distribution is going along very nicely.
§ T-shirts : Angela will order the shirts tomorrow morning. The shirts will be a light grey color.
§ Props: Thank you to the dads who worked on building the large cubes for the show.
§ Picture Day—Thurs. 8/6 Donette and Tina will take pictures for booster use.
§ Cool Treats –Snow Cones will be be provided by Janet Hagel on Tues. of each week of band camp. Thank you, Janet!
§ Activites—Janet Hagel looked into a swimming party at Bon Air Country Club. This is not an option. We could have a party at Summit Grove for $2/3 per student if we provide the food. It was agreed that we should pursue this.
§ Band Preview Night—Tina Pelensky and Donna Schriver will be contacting volunteers and organizing this event.
§ Meals at band camp: We will provide lunch on Fri, 8/7. Ideas include tacos, pizza, fried chicken. We know we have several vegetarians and at least one student with lactose intolerance. Mr. Poole will ask all students tomorrow about food allergies and other dietary restrictions and forward info to Donna Schriver. Donna will come in on Fri, she will need help getting the meal together.
Organizational Items
§ Chaperones—Donna Schriver and Michelle Spurlock will be scheduling a meeting soon. Tina will get a list of volunteers to Donna.
§ Candy Grams—Ann Merrick has this program up and running and ready to go. For new members: candy grams are candy bars that you can have sent to your student during games and competitions with a message from you. The kids enjoy it and the boosters earn a little income from it.
§ Trailer Pull—Donna Schriver will organize those people who have volunteered to pull the trailer.
§ Pit Crew—We need to find out how many passes we can have for pit crew members and how many people we will need on this year’s crew.
New Business
§ Sub Sales and other fundraisers—the fundraising committee will meet next week and report at the next general meeting.
§ Sewing—Donette Yeilding will organize volunteers to sew flags and other items. The sewing is not complicated and we welcome all help.
§ The No-Hassle fundraiser kicked off today. There will be several incentives this year such as a meal provided for the first section to reach100% participation and a reward for the student who brings in the most names/addresses. The form with the names and addresses is due to band camp on Thurs, 8/11. The students will be given time at band camp to get started.
§ Sub Sales – we are working with Warrior Nation and another sports management program to look for ways to expand our sub sales at home football games.
§ New Shelves—Mr. Poole mentioned the possibility of the boosters getting use of a section of the new shelving for storage. This idea was received with much enthusiasm! It was suggested that we install a booster bulletin board on the side of the shelving near the band room door—another great idea.
§ Home room—due to school-wide changes in home rooms this year, we cannot count on Mr. Poole having contact with all band students every morning. We will have to make a special effort during the fall to communicate with those band members who are not in marching band, especially about upcoming events such at jazz band auditions, etc.
NEXT MEETING: MONDAY SEPTEMBER 14 - 7pm SHS Band Room. All are welcome—parents AND students!
