Band Boosters Meeting

April 6, 2009

Attendees:  Brian Furio, Angela Mays, Debbie Auburger, Sherry Soltes, Brandon Soltes,  Jeannine Williams, Megan Strott, Bonny Lutter, Bethany Meyer, Donette Yeilding, Donna Schriver, Tina Pelensky, Lynn Eason.

Director’s Report   Mr.Poole could not be here tonight but he sent a written statement:

“Thanks again to Lynne and her committee for putting together an amazing Jazz Fest.  Everyone I spoke with had a great time.  The director for Sudbrook said how much his kids and parents enjoy coming. He even mentioned that he would like to host a festival in the same format. Mr. Steger made a recommendation: Folding chairs—have designated people to load chairs on cars. Makes it go faster.

     The indoor guard and drumline had very successful seasons. The drumline improved 11 points from the beginning of the season and the guard improved over 22 points. Thanks to everyone that helped the kids to do well this year. If you didn’t get a chance to see these groups, the KIDA DVD will be out soon

    The same weekend as KIDA was the District Jazz Band Festival.  It was a lot of fun to watch Mike Pressel, Jake Lutter, Ethan Walker and Curt Gottschalk play in the bands. The kids had a great time.  You should have heard the concert. Both bands were just amazing.

     The jazz band calendar includes a new performance. We’ve been asked to perform for the Fitness Fest sponsored by Gold’s Gym, on Saturday, May 9.  More details will be coming.

     The next event is the Chamber Music (Small Ensemble) Concert.  There are 6 groups performing in the concert.  We will have a Woodwind Quintet, 2 Brass Quintets, 2 Saxophone Quartets and a Percussion Ensemble.

     Parent Orientation/Marching Band Preview Night is April 28.  We will present that evening in the same format as last year. The first part will be for all incoming freshmen, the second part will be the Marching Band Preview.

Secretary’s Report   Minutes from March meeting approved.

Fundraising: 

• Market Day        Orders due by April 8, delivery April 14.
• Bingo       Profit $2,064.00 to general account, $702.00 to student accounts from ticket sales.  Invoice from New Freedom Fire Co. for $100.00 still outstanding.
• Pellman’s     Profits put $800.00 into student accounts and $800.00 into the general account.

York Revolution Game, Sunday, May 17, 1:00 game time.

     Bethany has posters ready.  We have 200 tickets to sell; seats are on the third base side this time. We can buy more tickets if we think we can sell them.  SMS and SHS band students and alumni are invited to play the National Anthem before the game.  This invitation is to ALL band students—marching, concert, symphonic, jazz band, etc.

     Ticket cost:  $5.00 for participating musicians, $10 all others. Ticket orders are due by May 1, earlier if possible.

     Press releases are out, including channel 99.

     Donette Yeilding suggests sending the information to Terry Reuter and Dale Keagy—they will advertise among the alumni.

     This event was enjoyed by all last year. Please invite your friends and family to join us for a fun day at the ballpark. The more community members we have, the more fun we’ll all have.

Jazz Fest Recap

• The hot chocolate was good…….need we say more???
• Coffee: Overall the comments were good.  Most people liked the coffee. We did not hear any complaints about people having to go get their own coffee—just a few about the line being too long. The line was mostly attributed to a blown fuse which took about 20 minutes to fix. Next year we will definitely suggest a line for brewed coffee and tea and another line for specialty coffees.
• Ship To Shore  reports $522.00 sold, $318.00 profit, our 8% was $26.00.  Mike from Ship to Shore would like to do it again.
• Some people feel we should charge the coffee vendor more, perhaps a $50.00 set-up fee + a percentage, other people feel the deal was mutually beneficial and we shouldn’t charge more. Points for charging more: we had to pay to rent the space and for custodial fees, he did not. And we paid for advertising to gather a crowd from which he benefited. We  put  his logo on all of our advertising—electronic, posters, tickets, program, etc. Points against: We had to pay for the space rental and custodial fees regardless, and the coffee added to our atmosphere. All seemed to agree that the added coffee selection and variety was an upgrade to the Jazz Fest.
• The kitchen staff reports that things ran more smoothly in the kitchen this year without serving coffee from there.  We didn’t sell as many cakes/pies, but we did sell 50-60 fruit/cheese plates.  All seemed to agree that the fruit/cheese plate was a nice addition to the menu. They tasted good and were put together beautifully.  The treasurer reports that income from the kitchen looks very similar to last year at first glance, even without the coffee/tea.

                    Another addition to the kitchen this year was a table set up for the servers.

                    Subs and lemonade were provided. It gave the servers a place to “hang out”

• The SMS liaisons did a fantastic job and Mr. Quay mentioned that his job was made easier by them.  Thank you Angela and Tammy!
• York Catholic         Feedback indicates that many people felt that York Catholic shouldn’t have given so much time to their small ensemble.  Some people wondered if we can specify “no small ensembles” in the future. It was decided to leave the question for Mr. Poole. 
• Senior posters—we received much positive feedback from the posters. Deb did a great job and the parents of the seniors seemed to appreciate the posters. Thank you ,  Deb!
• Ad Sales   We sold $415.00 in ads + we received a $50.00 donation and a donation of a cookie tray from Brown’s. We were very happy with the ad sales—thank you, Bonny!
• Fri. Night Jam Session  All seemed to agree that the jam session was a great idea. The idea to serve subs/chips/drinks to the students who helped was also a great idea. Thank you, Mr. Poole for setting up the jam session and Bethany for organizing the dinner!
• Live piano music    Good idea…….next year we need to ask the students not to surround the piano. Matt S. and Matt H. both played beautifully.
• Food tickets  In the future we need to simplify the ticket costs, i.e. 1 dessert with 1 ticket and drinks with a different ticket or something similar. That way people could just buy 1 tic. per dessert instead of trying to figure out how many tickets to buy. Thanks for handling this, Donna!
• Other suggestions: Free refills, table service. Most present disagreed with these suggestions. It was pointed out that our students have been serving hot drinks for years without incident, and that many of them do so at their jobs. Most present still did not think we should take the risk of having a student spill hot coffee on a guest.
• Coffee kiosk location  Brian F. would like to see the coffee kiosk set up directly in front of the main doors, being the first thing you see as you walk in the door, in the location where the ticket table was this year. Several present agreed.
• Success! In spite of the suggestions, all present seemed to agree that the evening was a success, the music was wonderful and most guests enjoyed themselves.

Small Ensemble Concert   April 21  We will ask Mr. Poole if he would like us to serve refreshments.

Concert- May 13   Freshmen and sophomores are asked to donate desserts.

Band Banquet- May 15    Bethany has met with a group of seniors. They decided on a casual, picnic-style dinner (with dessert by Pellman’s, of course!), awards and perhaps an audio-visual presentation. It will be a costume party with balloons for decorations. There will be games set up and some student bands will play. The venue: Summit Grove dining hall, which could include a campfire outside, or Assembly of God.

     Bethany needs help with this!  Please volunteer if you can.

     One idea for dinner: provide subs and chips and ask families to bring a covered dish.

Mark your calendars:  Please note that we have events scheduled for May 13, 15 and 17. This will be a busy week—please plan accordingly. 

Jazz Band  The Jazz Band has an added date:  May 9, Gold’s Gym Fitness Fest. We do not have a time for this yet.

Marching Band Preview Night  April 28, 6:30  SHS band room. We need to gather and copy information to hand out to parents.

Proposed Amendment:  An amendment to the by-laws was proposed: to add detail to the job descriptions for officers, and to have 2 vice presidents, 1 VP of Ways, and 1VP of Means. The VP of Ways would be in charge of projects and activities and the VP of Means would be in charge of fundraising. The proposal was seconded, a vote was held and the proposal was passed. Donette will amend the by-laws and distribute.

New Officers:  The nominating committee proposes the following slate of officers for the next executive board: 

     President:  Tina Pelensky

     VP of Ways:  Donna Schriver

     VP of Means:  Kim Nace

     Treasurer:  Angela Mays

     Secretary:  Lynne Hood

A vote will be held at the May meeting.
