Band Boosters Meeting
April 7, 2008

Secretary’s Report: Minutes from March meeting
approved.
Treasurer’s Report: Report approved, attached.
- .Audit committee: Bill Yost, John Yeilding, Pat may
have a third person.
- Budget: The board would like to have any budget
suggestions submitted in writing by May 1. The budget will be a big topic
at the May meeting.
Director’s Report:
§
A tentative marching band schedule is attached. The schedule
includes parades on June 28 and July 5. We will do the Glen Rock Memorial Day
parade as usual.
§
John Miliauskas is our new drill writer—we will be his only high
school band this year. He plans to be around during band camp. The show design
is going very well.
§
We have added the USSBA circuit as will as Cavalcade of Bands.
§
There will be no rehearsal for band night—just fun!
§
The performance of the national anthem at the York Revolution game
on June 12 will include alumni. The dress for the event will be the white
marching band polo shirt or a solid red shirt with khaki shorts and sneakers.
(NO flip-flops!)
§
After May 1 the band will be outside practicing the anthem and
parade music.
Marching band Disney trip:
§
The bus contract has been signed and sent off. Total invoice:
$16,447.50.
§
Donette recommends we reserve up to 30 rooms for the trip.
§
We have to file for tax-exempt status in Florida in order to avoid
paying taxes on the rooms. Donna Schriver will look into this for us.
§
The Best Western contract was reviewed and is attached.
§
We have officially received acceptance from Disney into their
Magic Music Days! We will march in a parade in the Magic Kingdom on 12/28 and
participate in an instrumental workshop on 12/29 in Epcot.
§
We have made reservations for 64 performers, 14 chaperones and 2
directors.
Parent Information Night:
§
We need to have the handbook done—the executive committee will
work on this. We need to make parents aware of the $250.00 account threshold.

We need to have the cost of the trip calculated, dates, etc.
Fundraising
- Bethany Meyer reviewed the fundraising session
(3/17/08). Complete minutes are on file.
- Hershey Park tickets: due date Wed. April 9.
- York Revolution fundraiser, June 12. We
need volunteers!!! If you are able to help us in the concession
stand at the York Revolution game on June 12, which is, coincidentally, the
very same day our band will be performing the national anthem at the game,
please contact Lynne Hood @ 235-0104 or
email.
We are almost there: we have 18 volunteers, we need about 25. We also need
volunteers for the training at the stadium @ 6pm on Wed. April 23.
- We should advertise this in the school newspaper,
Community Courier and York Daily Record (Weekly Record). Lynne Hood
will work on an ad, email to board for tweaking, Bethany Meyer
will place ads.
- We need to decide how proceeds will be split
between general account and student accounts. Most sales are split
50/50, executive board will decide.
- Basket Bingo: needs to happen this summer.
- Tag Day: Sept. 6, 2008. On this day the
band thanks the community for its support, collects donations door-to-door,
leaves schedule of band events. Donette is heading up this new fundraiser.
She needs help!
- Holiday Sales will start in October.
- Pellman’s as usual or maybe just once this
year.
- Senior Citizen’s Prom Mr. Poole will head
this up, music provided by jazz band.
- Partners in Pride revisions will be made in
order to facilitate more corporate sponsorship.
- Glen Rock Street Fair: we will not participate
this year.
- Car Wash we will not do a car wash this
summer.
Old/Ongoing Business
- Proposed Amendment to by-laws: Each
executive office gets one vote, including situations in which 2 people
serve as co-officers in one office position. A motion was made and seconded
to pass this amendment: amendment passed.
- New slate of officers:

President: Kathy Renzi (Kathy would like a co-officer)

Motion made to accept the slate
of officers, motion seconded, voted upon and approved. We are still looking for
a co-officer to work with Kathy Renzi.
- JazzFest The jazzfest was touted as “the
best-run event in a long time.” Pat Macomber was thanked (and applauded!)
for all the hard work she has put into the jazz fest over the past several
years. Pat, in turn, thanked all those who helped. The event earned
approximately $1,000. We were only 24 tickets shy of a sell-out. A
thank-you note has been sent to True Value, band directors have been emailed
for feedback.
Suggestions for the future:
- Get microphones for the ensemble.
- Sheryl Delp suggested that we handle food ticket
sales to the musicians at school prior to the event. They could get
tickets or just have their name added to a list.
- Mr. Poole suggests that the clinician gives a
performance for the SHS band students after Fri. set-up. This allows
more time with the clinician.
- When choosing the date, consider Easter, PSSA
testing, SHS musical, school calendar (would not want to do it on a
weekend when we have Fri. off).
- Awards Night/Banquet, May 16

Bethany Meyer is checking with the youth group at Grace
Church to see if they can cook and serve the dinner.
o
We need theme ideas from students, as well as students to
decorate, set up, clean up, etc.
o
Laurel Ruppert will help.
o
Donna Schriver and Michelle Spurlock will get together
regarding ticket sales.
o
Debbie Auburger will help Chris Poole with the
awards.
- Steger Scholarship Chris Poole will think
about the best time/place to award the scholarship……at a concert? at awards
night?
- SHS Spring Concert May 1
- Kim Nace will help Donna Schriver with
reception, freshmen and sophomores will donate desserts.
- Chris Poole will give a list of seniors to
Donette Yeilding for senior recognition.
- Bethany Meyer and Debbie Auburger are
looking into flowers for parents of seniors.
- Elementary Band/Orchestra Concert, May 15 Lynne
Hood will contact Mr. McGarvey about having older students help younger
students at the concert. Kathy Renzi will help. They have Casey,
Sarah and Matt who might be able to help.
- SMS Concert, May 22 The indoor drum line will
perform, Donna Schriver will take care of refreshments, photo albums, etc.
